How to use Dashboard Filters

Overview

The Dashboard Filter feature allows  to refine and analyze dashboard data by applying specific conditions. Instead of viewing all responses together, filters help you focus on a particular segment of respondents based on selected criteria.
Once a filter is applied, all widgets and visualizations on the dashboard update automatically to reflect only the responses that match the selected conditions.
  • What the feature does:
    Allows users to filter dashboard data using selected conditions.
  • Why it matters (user value):
    Helps users analyze specific response segments more accurately and gain focused insights.
  • When to use it:
    Use dashboard filters when you want to narrow down data based on respondent attributes, answers, or custom conditions.
  • Notes
    In addition, the dashboard also provides a Lock Filter option.

    How to Access Dashboard Filters

    1. Navigate to Dashboards from the main navigation bar.
    2. Open an existing dashboard or create a new one.

       

         3. Add the required reports/widgets from different surveys and Tickets to the dashboard.
         4. At the top of the dashboard, click Add filters.


             5. Select + Add filter inside the filter panel.



    In this way you can configured multiple filters on single Dashboard at same time.

    How to Configure Filter with Operators

    1. Contains 

    Shows responses where the entered text appears anywhere in the answer.

    Example
    Question: What did you like most about our service?
    Filter: Contains → support

    2. Starts with

    Shows responses that begin with the entered text.

    Example
    Question: Customer Name
    Filter : Starts with → Sam

    3. Ends with

    Shows responses that end with the entered text.

    Example
    Question: Email Address
    Filter: Ends with → gmail.com

    4. Is empty

    Shows responses where no answer or value is available.

    Example
    Question: Additional Comments
    Filter: Is empty

    5. Is not empty

    Shows responses where an answer or value is available.

    Example
    Question: Feedback Comment
    Filter: Is not empty

    6. Is equal to

    Shows responses that exactly match the selected value.

    Example
    Question: NPS Rating
    Filter: Is equal to → 10

    7. Is not equal to

    Shows responses that do not match the selected value.

    Example
    Question: CSAT Score
    Filter: Is not equal to → 1

    8. Is any of

    Shows responses matching one or more selected options.

    Example
    Question: Which product did you purchase?
    Filter: Is any of → Laptop, Mobile

    9. Is none of

    Excludes the selected options from the results.

    Example
    Question: Subscription Plan
    Filter: Is none of → Trial Plan

    10. Is answered

    Shows responses where the question has been answered.

    Example
    Question: Rate your experience
    Filter: Is answered

    11. Is not answered

    Shows responses where the question was skipped or left unanswered.

    Example
    Question: Would you recommend us?
    Filter: Is not answered

    Lock Filter Feature

    1. After applying a filter, you can use the Lock Filter option to restrict changes to that filter.
    2. Sometimes, you may want to restrict users from changing certain filters. In such cases, you can apply a filter (e.g., a specific store location) and lock it, ensuring the dashboard always displays data for that selected value without allowing others to modify it.
    3. The Lock icon is located at the top-right corner of the filter box.




    When you enable the lock filter and save the changes:
    • The filter becomes restricted .
    • Other users cannot modify or remove the filter.
    • The dashboard will always display results based on the locked filter conditions.
    Idea
    This is particularly useful when you want to ensure that the dashboard always displays data for a specific group or condition after shared to other user.

    Preview of Applied Filters

    The applied filters are displayed at the top of the dashboard in preview mode. This allows you to quickly understand which filters are currently applied.
    Idea
    You can directly interact with applied filters from the preview section without needing to go into edit mode.
    What you can do from the filter preview:
    1. Modify filter values : 
      1. Dashboard admin user  & Dashboard view user can select or deselect values using the dropdown available on each applied filter.
    2. Remove a filter 
      1. Dashboard admin user  & Dashboard view user can remove any applied filter directly from the preview section.
      2. Dashboard admin user  & Dashboard view user can remove the lock filter only in edit mode of dashboard.


    Saving and Sharing the Dashboard

    After applying and locking the filter:
    1. Click Save from the top bar of the dashboard.

         
           2.You can then share the dashboard with other different users based on their uses.
          3. The shared user must have Dashboard User or Dashboard Admin access.

     

    Info
    Once the dashboard is shared, the applied filters will remain active.



    Filter Behavior for Different User Roles

    The behavior of locked filters depends on the user role.

    Dashboard View User

    • View the dashboard
    • Apply additional filters on Dashboard 
    • Analyze the dashboard using temporary filters
    InfoHowever, they cannot modify or remove the locked filter.

    Dashboard Admin

    • Edit the dashboard
    • Modify applied filters
    • Lock or unlock filters
    • Remove existing filters

    This allows administrators to maintain control over the dashboard configuration.
