Action Plans

Overview

Action Plans help teams convert survey insights into measurable actions directly from dashboards.

Instead of only identifying issues through dashboards and reports, users can create Action Plans, assign ownership, track progress, monitor linked survey metrics, and collaborate with team members to drive improvements.

Action Plans are tightly integrated with dashboards, allowing teams to connect customer feedback with operational actions and monitor outcomes over time.

When to use it:

Use Action Plans when you want to track improvement initiatives, assign accountability, and measure the impact of actions taken based on survey insights.

Key Use Cases

  • Convert survey insights into actionable initiatives

  • Assign ownership for improvement activities

  • Track metric improvements over time

  • Monitor action plan progress and status

  • Collaborate using notes and attachments

  • Measure outcomes linked to customer feedback

  • Monitor action plans across multiple dashboards

Dashboard Sharing & Access

Action Plans are available through shared dashboards.

Users can share dashboards with other users and optionally grant Action Plan permissions during the sharing process.

This allows users to:

  • View dashboards

  • Access Action Plans

  • Create and manage Action Plans

  • Be assigned Action Plans


InfoAction Plan access always depends on dashboard access. Removing dashboard access automatically removes Action Plan access as well.

Accessing Action Plans

Action Plans can be accessed from the Dashboard menu.

To access Action Plans:

  1. Open the required Dashboard.

  2. Click the 3-dot menu.

  3. Select Action Plans.

The Action Plans screen displays all plans accessible to the user.

Users can:

  • Search plans

  • Filter by Status

  • Filter by Creator

  • Filter by Assignee

  • Create new plans

  • Edit existing plans

  • Delete plans


Creating an Action Plan

To create a new Action Plan, click Create Action Plan.

Each Action Plan includes:

  • Plan Name

  • Problem Statement

  • Assignee

  • Due Date

  • Linked Survey Questions (Optional)

Plan Name and Problem Statement are mandatory.

Users can assign plans to:

  • Themselves

  • Other users who have dashboard access and Action Plan permissions



Linking Survey Questions

Action Plans can be linked to survey questions for ongoing performance tracking.

When linking a survey question:

  • Select a Survey

  • Select a Question

  • Choose a metric or tracked option

For Multiple Choice questions, users can select a specific answer option to track.

For other question types, users can select the metric they want to monitor.

Additional survey questions can also be linked after the Action Plan is created.

Each linked question maintains its own tracking and performance history.

Notes
Action Plans can be created with or without linking survey questions.

Action Plan Details

Each Action Plan contains a detailed view that helps teams monitor progress and outcomes.

The Action Plan details page displays:

  • Plan Information

  • Problem Statement

  • Linked Questions

  • Current Assignee

  • Due Date

  • Status

  • Recent Activity

For linked survey questions, the system tracks:

  • Creation Value

  • Current Value

  • Performance Change


This helps teams measure whether the metric has improved or declined since the Action Plan was created.

Warning
Multiple Action Plans can exist for the same survey question. The system displays a warning before creating additional plans.

Managing Action Plans

Users can update Action Plans throughout their lifecycle.

Available actions include:

  • Update Status

  • Change Assignee

  • Modify Due Date

  • Add Progress Notes

  • Upload Attachments

  • Add Additional Linked Questions

  • Remove Linked Questions

All updates are automatically recorded in the activity history.

Action Plan Reports

Action Plan Reports provide a centralized view of plan performance across dashboards.

Reports are available to all users

Available metrics include:

  • Plans Created

  • Plans Completed

  • Plans In Progress

  • Plans Overdue

  • Assignee Performance

  • Status Distribution

Admins can view Action Plans created by all users across all dashboards.

Available filters include:

  • Status

  • Created By

  • Survey

  • Question


InfoAction Plan Reports help Admins monitor adoption, ownership, and execution across the organization.

Survey & Question Deletion Behavior

Action Plans remain intact even if linked surveys or survey questions are deleted.

If a linked survey or question is removed:

  • The Action Plan remains available

  • Notes remain available

  • Attachments remain available

  • Status history remains available

  • Previously captured values remain available

The broken survey or question link is removed while preserving all Action Plan data.

NotesHistorical tracking data is always preserved, even if linked survey assets are deleted.

Deleting Action Plans

Users can permanently delete Action Plans when they are no longer required.

Before deletion:

  • A confirmation prompt is displayed

  • Users must explicitly confirm deletion

WarningDeleted Action Plans cannot be recovered.

Email Notifications

The system automatically sends email notifications for key Action Plan activities.

Notifications are sent when:

  • Dashboard access is granted

  • Action Plan permission is granted

  • An Action Plan is assigned to a user

Emails include direct links to:

  • The Dashboard

  • The Assigned Action Plan

Notifications are only sent when the user has both dashboard access and Action Plan permissions.

Important Notes

  • Action Plans cannot exist independently of dashboards.

  • Dashboard access is required for Action Plan access.

  • Multiple Action Plans can be linked to the same survey question.

  • Only users with appropriate permissions can create, manage, or be assigned Action Plans.

  • Survey or question deletion never removes Action Plans.

  • Historical metric values are always preserved.

Best Practices

  • Assign clear ownership for every Action Plan.

  • Link Action Plans to measurable survey metrics whenever possible.

  • Use progress notes to document updates regularly.

  • Review overdue Action Plans frequently.

  • Monitor performance changes to measure impact.

  • Use attachments to centralize supporting documentation.
