Single Response PDF Export

Overview

The Single Response PDF Export feature allows users to download an individual survey response as a PDF directly from the Responses section of the Report module.

This is useful when you need to:

  • Share a specific respondent's feedback
  • Maintain response records for audits
  • Export individual survey submissions for review
  • Create respondent-specific reports
  • Download responses with selected response details only

Users can choose between a Default PDF containing all available response information or a Custom PDF where specific response details can be selected before exporting.

How to Export a Single Response PDF

Accessing Individual Responses

  1. Open the required survey.
  2. Navigate to the Report section.
  3. Click Responses from the left navigation panel.


The Responses page displays all collected survey responses along with respondent information and response details.

Ways to Export a Single Response

There are two ways to export an individual response as a PDF.

Method 1: Export from the Responses Table

  1. Locate the required response.
  2. In the Action column, click the Download PDF icon.

The PDF Export window will open.

Method 2: Export from Response Details

  1. Locate the required response.
  2. Click the Expand Response icon.
  3. The Response Details panel will open.
  4. Click the Download PDF icon available in the response header.


The PDF Export window will open.
InfoBoth download options open the same PDF Export configuration window.

Select PDF Type

When the export window opens, users can choose between two PDF formats:

Default PDF

The Default PDF includes all available response details by default.

Use this option when you want a complete copy of the respondent's submission without additional configuration.

Custom PDF

The Custom PDF option allows users to select exactly which response details should be included in the exported file.

Use this option when only specific information needs to be shared or reviewed.


PDF Export Options

The export window provides additional settings to control the contents of the PDF.

Hide Skipped Questions

Enable this option to exclude questions that were skipped by the respondent.

This helps create a cleaner report by removing unanswered questions that were not shown or were intentionally skipped.

Hide Empty Response Details

Enable this option to remove response fields that do not contain any values.

This reduces unnecessary blank sections in the exported PDF.

Idea
Enabling both options usually creates a more concise and reader-friendly PDF.

Custom PDF Configuration

When Custom PDF is selected, an additional configuration section becomes available.

Users can manually choose which response details should be included in the exported PDF.

Available Response Detail Categories

Response details are organized into categories such as:

  • Questions
  • Contact Property
  • Metadata Property
  • System Property


Additional categories may appear depending on survey configuration and collected data.

Selecting Response Details

To include response information:

  1. Expand the required category.
  2. Select the fields you want to include.
  3. Repeat for other categories as needed.

Only selected fields will appear in the exported PDF.

Removing Response Details

To exclude information from the PDF:

  1. Expand the relevant category.
  2. Deselect the fields you do not want to include.

Deselected fields will not appear in the exported document.

Search Response Details

The Search box can be used to quickly locate specific fields or properties when working with large surveys.

This makes it easier to find and select the required response details.

Download the PDF

After configuring the export settings:

  1. Select either Default PDF or Custom PDF.
  2. Configure the optional export settings if required.
  3. Click Download PDF.

The system will generate and download the PDF containing the selected response information.

Response PDF in Integrations and Automations

The Single Response PDF can also be attached and shared through other SurveySensum workflows:

Best Practices

To create cleaner and more focused PDF exports:

  • Use Default PDF for complete respondent records
  • Use Custom PDF when sharing specific information with stakeholders
  • Hide skipped questions to reduce report length
  • Hide empty response details to remove unnecessary blank sections
  • Export only relevant response properties when sharing externally

Warning
Custom PDFs only include the response details selected during export. Review your selections carefully before downloading to ensure all required information is included.
