Share Survey Via Email


Infoshare via Email is used when you want to send surveys directly to known respondents through their email addresses.
This option is ideal for collecting feedback like NPS, CSAT, or post-interaction surveys. Use it when you need personalized survey invitations and better response tracking. It is recommended when surveys must be sent immediately or scheduled for a later time. Email sharing also supports automated reminders, helping improve survey completion rates.


How to share survey via Email

After creating your survey, your survey is ready to be shared!




The Share page allows you to distribute your survey using different channels based on your audience. Choosing Send Email opens the email campaign setup

1: Go to the Share Section

After building your survey, click on the Share tab from the top navigation. This section lets you choose how you want to distribute your survey to respondents.

2: Open Channels

From the left panel, select Channels. This displays all available sharing options such as Email, WhatsApp, SMS, QR Code, and Embed.

3: Select Send Email

Click on Send Email to share your survey via email. This opens the email campaign setup page where you can configure recipients, templates, scheduling, reminders, and campaign reports.



NotesNote :- Every time you select the Send Email option, a new email campaign is created. To access your previously sent email campaigns, navigate to the Sent Campaigns section from the left sidebar.


Email Campaign Details

 This section captures the basic information required to send the survey via email




Enter the following details based on your requirements:

1. Rename Campaign: 

Renaming an email campaign helps you identify and manage campaigns easily, especially when multiple email campaigns are created for the same survey.

2. From address: 

This is a email address from which the survey email is sent and appears as the sender’s email in the respondent’s inbox. It is typically a system-verified or default email address (for example, feedback@surveysensumuser.com) and you can be personalized by contacting Surveysensum team.


3. From Name:

Enter the name of the sender of the Email. This name will be displayed as the sender of the email or contact property to your respondent/contact.
You can keep it static (for branding) or dynamically personalize it using *Pipe Text  (contact properties).

4. Reply-To Email:

After receiving the survey via email respondents can reply, to the email address entered here.

5. Send To: 

Enter the email address of your respondent directly . The survey will be shared with that email address.

You can * import contacts or select from contact lists you might have created. If you have not added a list or a contact yet click on create a new contact or contact list.











6. When :

Click on When drop-down menu and choose if you want to send the email now or send it later. Once you choose the send it later option you can schedule your survey for a later date and time


 Email Template



Select Email Template : 


This option allows you to choose an existing email template for your survey campaign. You can select from saved templates in Dropdown option OR
 Create New Template

Idea
You can reuse an existing email layout or content to save time and maintain consistency across campaigns.

The language selector lets you choose the primary language for your email template. All subject lines and email content entered will be saved under the selected language.

Add Translation :


The Translations option allows you to add additional languages to the same email template. You can create separate subject lines and email content for each language, ensuring respondents receive emails in their preferred language

Idea

You want to reuse an existing email layout or content to save time and maintain consistency across campaigns.

Template Logic : 

It enables you to display specific language versions of the email based on conditions. You can set rules using contact properties (such as Location Type or Connection Type) to decide which language, Property is sent to which respondent.


Idea

The same survey is sent after different events or campaigns.

How it works:
  • If Campaign Type = Store Visit, mention in-store experience

  • If Campaign Type = Online Purchase, reference online experience

Respondents feel the survey is relevant to their recent interaction.



Embed Survey Data : 


This option allows you to embed survey questions directly inside the email. Respondents can answer the survey without opening an external link, improving response rates

             Test your email template before sending it to your contacts by clicking on Test Email



Subject:



 Enter the subject of the email. The subject can be personalized on the basis of contact information, click on properties {A} to choose the contact property for personalization.


NotesNote: You can add contact properties in the People Tab.

Email Message: 

Design and customize your email content using the built-in editor. You can format text, insert images, add survey links or embedded questions, and personalize the message using contact properties (pipe text {A}) to create a more engaging survey invitation.


Customize the survey link expiration date: Choose a custom date from the drop-down menu. Select the date and time for the survey expiration. The link for your survey will not work after this date and time.

This feature helps control the survey collection window, ensures timely feedback, and prevents responses from being submitted after the campaign or analysis period has ended.



Reminder Emails 

Sending reminders helps increase survey response rates by following up with respondents who have not completed the survey. Surveysensum allows you to schedule automated reminder emails so you don’t need to manually follow up.


Steps to Add a Reminder

  1. Select Reminder Recipients
    Choose who should receive the reminder:
  • Non-Responders – respondents who haven’t opened or started the survey
  • Partial Responders – respondents who started but didn’t complete the survey
  • Both – to send reminders to all pending respondents
  1. Schedule the Reminder
    Select when the reminder should be sent (for example, 1 day or 3 days after the initial email) and set the exact time for delivery.
  2. Customize the Email Content
    Update the subject line to encourage responses, personalize the message using contact properties, and ensure the survey link is included for easy access.
  3. Save & Schedule 
      
  • Save the email template if you plan to reuse it
  • Click Schedule Reminder to activate the reminder email.


 Campaign Report


The Campaign Report feature allows you to automatically send survey response reports to selected recipients via email. These reports help track survey performance by sharing details about respondents and non-respondents without manually exporting data.



Send Report To :

Enter one or more email addresses that should receive the campaign report. You can also use pipe text so recipients receive reports only for respondents or non-respondents related to their own team or group.

CC Emails : 

Add additional email addresses to receive a copy of the campaign report.

Report End Settings : 


You can decide when report delivery should stop:
  • When campaign expires – reports stop automatically when the survey campaign ends
  • Specify end date – set a custom end date for report delivery
