Share Survey Limit

Overview

The Share Survey Limit feature in SurveySensum allows you to control the maximum number of survey sends for a particular survey within a defined time period. When surveys are triggered through automations, APIs, or website embeds, they can reach large volumes of contacts simultaneously. This feature gives you a way to cap those sends, helping you avoid over-surveying, prevent sudden volume spikes, and deliver a better respondent experience.

This feature is especially useful when:

       You use automations or event-based triggers that fire at high volumes.

       You want to prevent a single campaign from exhausting your daily send quota.

       You need to pace survey distribution across different channels (Email, WhatsApp, SMS, etc.).

       You want to track how many contacts were skipped due to the limit being reached.

How to Access Share Survey Limit


Step 1: Open any survey in SurveySensum and navigate to the Build tab.
Step 2: Click on Survey Settings from the left panel.
Step 3: Scroll to the bottom of the settings page to find the Survey Send Limit section.
Step 4: Toggle ON the "Limit the number of surveys sent" switch

How to Configuring the Send Limit

Once the toggle is enabled, you will see three configuration fields


1. Set Limit

Label: Set Limit — Maximum number of people who you want to send the survey.
       Enter a numeric value.
       This field is empty by default.

2. Surveys In (Frequency)

Label: Surveys In — Select the time window within which the limit applies.
Available options:
       1 Day (Default)
       7 Days
       30 Days
       Custom (enter a numeric value)
Notes
When "1 Day" is selected, the limit applies within a single calendar day (12:00 AM to 11:59 PM). Once the limit is reached, no further surveys are sent for that day. The count resets automatically at 12:00 AM midnight, regardless of when the limit was reached during the day.

3. Apply Limit To (Channel Selection)

Label: Apply Limit To — Choose which channel(s) the limit applies to.
Available channel options:

       All Channels (Default)

       Email

       WhatsApp

       SMS

    Hybrid

    Unique Link 

All Channels: The limit applies collectively across all available channels in the product.

Multiple individual channels selected: The total combined sends across all selected channels will count against the single limit.

Multi Channel: If you set the limit to X and select Multi Channel, then X surveys will be sent through each individual channel included in the Multi Channel configuration — not X in total.
Alert
You cannot create two separate limits for the same channel. Each channel can only appear in one limit configuration.

4. Adding Multiple Send Limits

You can configure different send limits for different channels by using the "+ Add another send limit" option. 

Rules for adding multiple limits:

       When is it available: The "Add another send limit" option is enabled only when you have already selected a specific individual channel (not "All Channels") in your current limit configuration.
  
AlertIf "All Channels" is selected in any limit configuration, the option to add another limit is not visible. You can't combine "All Channels" with any channel-specific limit.
       No duplicate channels: You cannot configure two limits for the same channel. For example, if Email is already selected in one limit, it cannot be selected again in a new limit configuration.
       Switching to All Channels: If you want to apply "All Channels" but have already configured individual channel limits, you must first remove those channel-specific limits.

5. Saving the Configuration

Once you have filled in all the required fields, click the Save Limit button.

       The Save Limit button remains greyed out (disabled) until all required fields are filled in correctly.

       Configuration is saved at the survey level, meaning it applies to every distribution of that survey.

How the Limit Works with Campaigns

When a survey is triggered through a campaign or automation, the system uses the following logic to apply the send limit:

What Happens

1. Identify eligible contacts (N)

System identifies all contacts eligible to receive the survey after throttling is applied. Contacts that did not pass throttling are excluded before the limit is checked.

2. Check configured limit (X)

System checks how many sends remain in the current time window (remaining quota).

3. Calculate Sent and Skipped

Sent = min(N, remaining quota)

Skipped = N – Sent

Surveys are sent to as many eligible contacts as the remaining quota allows. The rest are skipped.

Example :-
A campaign is created with 100 contacts.
20 are duplicates, so throttling allows only 80 eligible contacts.

The Survey Send Limit is set to 50.

Result: 50 surveys are sent. 30 contacts are skipped.

InfoImportant: The Survey Send Limit is applied only to eligible contacts — those who have already passed throttling. Throttled-out contacts are not counted against the limit.

How to View Skipped Contacts Count

When the Survey Send Limit is enabled, you can track how many contacts were skipped because the send limit had already been reached. The skipped count is available in both Campaign Stats and Automation History, helping you understand where contacts were not able to receive the survey.

The Skipped count in campaign stats is only visible when the toggle is ON. Turning the toggle OFF hides the Skipped column.

When the Survey Send Limit toggle is ON, a Skipped count is displayed in the campaign statistics. This count shows how many contacts did not receive the survey because the send limit had already been reached.
       Skipped count is visible only when the toggle is ON. If the limit toggle is turned off, the Skipped column will not appear in campaign stats.
       Info icon: An information icon next to the Skipped count tells you exactly how many contacts were skipped due to the survey send limit being reached.

2. Skipped Contacts in Automation History



When a survey is shared through an Automation workflow and the send limit is applied, you can track this in the Automation History tab.

1.    Step 1: Go to Automation from the top navigation bar.

2.    Step 2: Open the History tab.

3.    Step 3: Find the relevant Survey Share action.

4.    Step 4: An info indicator will be visible if any contacts were skipped in that run because the survey limit was applied.
