Offline Field Work – Manager

Overview

The Manager role is responsible for managing field Agents and assigning surveys for offline data collection.

Managers use the Offline Field Work web portal to create Agent accounts, manage survey assignments, and oversee field operations. They act as the bridge between Admins and field Agents, ensuring that the right surveys are assigned to the right users.

When to use it:

Use the Manager role when coordinating field teams, assigning surveys, and managing agents responsible for offline response collection.

How to Access Offline Field Work

  1. Open the required survey.

  2. Navigate to the Share tab.

  3. Click Offline Field Work.

  4. Log in using the credentials provided by the Admin.

After successful login, the Manager Dashboard is displayed.

Manager Dashboard

The Manager Dashboard provides visibility into all Agents managed by the user.

The dashboard includes:

  • Agent List

  • Agent Details

  • Survey Access Controls

  • Search Functionality

Available actions include:

  • Create New Agent

  • Create Multiple Agents

  • Manage Surveys

  • Activate or Deactivate Agents


Creating Agents

Managers can create Agent accounts individually or in bulk.

Create a New Agent

To create an Agent:

  1. Click Create New Agent.

  2. Enter the required details:

    • Name

    • Email

    • Phone Number

    • Password

    • Confirm Password

  3. Click Create User.


Once created, the Agent can log in to the Offline Field Work mobile application.

Create Multiple Agents

Managers can onboard multiple Agents at once using an Excel file.

  1. Click Create Multiple Agents.

  2. Download the sample Excel template.

  3. Enter Agent details in the template.

  4. Upload the completed file.

  5. Click Upload and Create Users.


NotesThe uploaded file must follow the provided template format for successful user creation.

Assigning Surveys to Agents

Managers can assign specific surveys to Agents from the accounts they have access to.

To assign a survey:

  1. Open the Manage Survey section of an account.

  2. Select an account.

  3. Choose one or more surveys.

  4. Assign the surveys to the required Agent.


Managers can view:
  • Survey ID

  • Survey Name

  • Assigned Date

  • Status

Survey assignments can also be removed whenever required.

InfoManagers can only assign surveys from accounts provided by the Admin. Agents can only access surveys that have been assigned to them.

Agent Access Management

Managers are responsible for controlling Agent access.

Available actions include:

  • Activate Agents

  • Deactivate Agents

  • Assign Surveys

  • Remove Surveys

  • Monitor Agent Activity

Inactive Agents cannot access the Offline Field Work mobile application.

Important Notes

  • Managers only manage Agent accounts.

  • Managers cannot create other Managers.

  • Survey assignment depends on account access provided by the Admin.

  • Agents can only access surveys assigned to them.

  • Bulk uploads require the provided Excel template format.

Best Practices

  • Assign surveys before field deployment.

  • Verify Agent credentials before field work begins.

  • Keep inactive Agents disabled.

  • Use bulk creation when onboarding large teams.

  • Regularly review survey assignments and Agent access.

Periodically review assigned surveys to ensure Agents only have access to surveys relevant to their field activities.
