Offline Field Work – Agent

Overview

The Agent role is responsible for collecting survey responses using the Offline Field Work mobile application.

Agents use the mobile application to download assigned surveys, collect responses without internet connectivity, and sync completed responses back to SurveySensum when an internet connection becomes available.

Agents do not access the Offline Field Work web portal.

When to use it:

Use the Agent role when conducting field surveys, door-to-door interviews, retail audits, rural studies, or any research activity where internet access may be limited.

How to Access the Mobile Application

Agents receive login credentials from their Manager.

To access the application:

  1. Open the Offline Field Work mobile application.

  2. Enter your Email Address.

  3. Enter your Password.

  4. Click Log In.

After successful login, all assigned surveys become available within the application.

Viewing Assigned Surveys

Agents can only access surveys assigned by their Manager.

The survey list displays:

  • Survey Name

  • Survey Version

  • Status

  • Download Option


InfoSurveys that have not been assigned by a Manager will not be visible in the application.

Downloading Surveys

Before conducting field work, Agents should download their assigned surveys.

Downloaded surveys:

  • Remain available offline

  • Store responses locally on the device

  • Allow data collection without internet connectivity

This ensures survey collection can continue even in low-network or remote locations.

Conducting Offline Surveys

After downloading a survey:

  1. Open the survey.

  2. Click Next.

  3. Enter respondent details.

  4. Start the survey.

Internet access is not required while collecting responses.

Respondent Details

Before the questionnaire begins, Agents may be required to enter:

  • Respondent Name

  • Respondent ID

Once submitted, the survey questionnaire starts.

Survey Statistics

Agents can view survey progress directly within the application.

Available statistics include:

  • Conducted Responses

  • Completed Responses

  • Partial Responses

  • Terminated Responses

  • Synced Responses


These metrics help Agents monitor their field activity and progress.

Application Menu Options

The application includes additional options through the menu.

Available options include:

Synced Responses

Used to upload collected responses to the server.

Settings

Used to manage response syncing preferences.

Logout

Used to securely sign out of the application.


Syncing Responses

Responses collected offline remain stored locally on the device until they are synced.

To upload responses:

  1. Connect the device to the internet.

  2. Open the application.

  3. Open the menu.

  4. Click Synced Responses.

  5. Wait for the sync process to complete.

After syncing:

  • Responses are uploaded to the platform.

  • Data becomes available in reports and analytics.

  • Responses are securely stored on the server.

Sync Settings

The Settings section provides options to control response synchronization.

Available settings include:

  • Automatic Syncing – Automatically uploads responses when internet connectivity becomes available.

  • Result Syncing – Controls synchronization behavior for survey responses.


These settings help Agents manage how responses are uploaded from the device.

Survey Updates & Version Management

When a survey assigned to an Agent is updated by the Manager, the survey in the assigned survey list is highlighted to indicate that a newer version is available. The Version column is also updated with the latest version number.

When the Agent opens the updated survey, a dialog prompts them to choose how they want to proceed.

Available options include:

  • Update – Downloads the latest version of the survey so all new changes are available.
  • Start – Continues using the currently downloaded version without updating.
  • Cancel – Closes the dialog without opening the survey.

Agents should update the survey before collecting new responses to ensure they are using the latest survey structure, logic, and content.

NotesPreviously collected responses are not affected by survey updates. Only responses collected after downloading the latest version will use the updated survey.

Important Notes

  • Agents cannot access the Offline Field Work web portal.

  • Agents can only access surveys assigned to them.

  • Surveys should be downloaded before going offline.

  • Internet access is required only for syncing responses.

  • Unsynced responses remain stored securely on the device until uploaded.

Best Practices

  • Download surveys before visiting the field.

  • Keep your device charged during field work.

  • Sync responses regularly whenever internet is available.

  • Verify internet connectivity before starting a sync.

  • Do not uninstall the application while responses are pending synchronization.

Idea
Sync responses at the end of each day to ensure data is uploaded safely and available for reporting as soon as possible.
